Office Policies

At Aesthetically Yours, we are committed to providing a safe, professional, and relaxing experience for every patient. The following policies are in place to ensure efficiency, fairness, and the highest level of care.

 

Cancellation & No-Show Policy

As a courtesy to our patients and staff at Aesthetically Yours, we require a minimum of 24 hours’ notice to cancel or reschedule an appointment.

 

Appointments cancelled or rescheduled with less than 24 hours’ notice, as well as missed appointments (no-shows), will incur a $50 cancellation fee. This fee will be automatically processed per our office policy.

If a deposit was collected at the time of booking, the deposit will be forfeited in the event of a late cancellation, reschedule, or no-show.

 

Late cancellations or no-shows for package appointments may result in forfeiture of that session.

 

Appointments may be managed through the patient portal in Aesthetic Record or by contacting the office directly.

Saturday Spa Appointment Deposit Policy

Saturday spa appointments with our Esthetician are in high demand and require a $50 non-refundable deposit at the time of booking.

 

Once your appointment is scheduled, an electronic invoice will be sent to phone number on file. The deposit must be paid within 24 hours to secure your appointment. Unpaid deposits will result in automatic cancellation of the appointment.

 

The deposit will be applied toward your service total at the time of your visit.

 

If a Saturday appointment is cancelled or rescheduled with less than 24 hours’ notice, or in the event of a no-show, the deposit will be forfeited.

 

Late Arrival Policy

We kindly ask that patients arrive on time for their scheduled appointment to ensure the best experience and optimal treatment results.

 

Patients arriving late may have their appointment shortened to accommodate the remaining schedule.

 

Patients arriving more than 10 minutes late will be rescheduled and may be subject to the cancellation policy and applicable fees.

 

Payment Policy

Payment is due at the time services are rendered. We accept card and cash for all services.

 

Please note: no cash is kept on the premises. If change is owed, the balance will be added to your patient wallet in Aesthetic Record for use toward future services or skincare purchases.

 

Patients are responsible for all charges incurred, regardless of insurance or third-party payment method.

 

HSA/FSA Card Use

We accept HSA and FSA cards as a form of payment. Please note that most cosmetic treatments are not considered qualified medical expenses under IRS guidelines.

 

Patients are solely responsible for ensuring their treatment qualifies. In the event of an IRS audit, the patient assumes all responsibility for improper use of HSA/FSA funds.

 

Package & Refund Policy

Treatment Packages

All treatment packages and series are non-refundable. Treatments must be completed within 12 months from the date of purchase.

 

If a package cannot be completed, services already rendered will be charged at full price (not the discounted package rate). Any remaining balance may be used as in-office credit toward future services or retail purchases.

 

Unused treatments within a package may not be exchanged for monetary value or transferred to other services.

Package Expiration

All packages expire 12 months from the date of purchase. Expired treatments will not be extended or converted to credit.

Promotions & Discounts

Promotions and special offers may not be combined with other discounts, packages, or membership pricing unless otherwise stated.

 

Promotions cannot be applied to past purchases or treatments already received.

Gift Cards

Gift cards are non-refundable and not redeemable as cash. Gift cards may be used toward any service or product offered in the office.

 

Children in Office Policy

We strive to maintain a safe, calm, and relaxing environment for all patients. Children should only accompany you to your appointment if they are able to remain seated, quiet, and under your direct supervision at all times.

 

For safety and liability reasons, children are not permitted in treatment rooms during most services. At the provider’s discretion, children may accompany a patient for brief injectable appointments (such as neurotoxin treatments) if they are able to remain seated, quiet, and supervised.

 

Under no circumstances may children accompany a patient during dermal filler treatments, device-based procedures (including RF microneedling, laser, and IPL), or any spa services, as these services require your full attention and do not allow for appropriate supervision.

 

If a child becomes disruptive or cannot be safely supervised, your appointment will be paused or rescheduled.

 

Treatment Eligibility & Right to Refuse Service

For patient safety, all treatments are subject to medical evaluation and provider discretion.

Aesthetically Yours reserves the right to refuse or postpone treatment if it is determined that a service is not appropriate, safe, or in the patient’s best interest.

 

Tipping Policy

Gratuity is not accepted for medical services. Gratuity for non-medical services performed by our esthetician is appreciated but not required.

 

General Policy Acknowledgement

By scheduling an appointment with Aesthetically Yours, you acknowledge and agree to the policies outlined above.
